Website privacy policy for York Condominium Corporation No. 8.

Prepared October 18, 2026 · Applies to this redesigned website

York Condominium Corporation No. 8 (“YCC8,” “we,” or “us”) respects the privacy of owners, residents, and visitors. This policy explains how personal information is handled through this website and related communications.

What we collect

When you contact us, you may provide your name, unit number, email address, phone number, subject, and message. Provide only information relevant to your inquiry. Do not include banking details, identification numbers, passwords, or unnecessary sensitive information about yourself or others.

Hosting and email providers may process technical information such as IP addresses, browser types, requested pages, and access times to deliver services, diagnose problems, and prevent misuse.

How the request form works

The form is addressed only to pm@proactivemanagement.ca. It does not automatically copy the Board of Directors. In email-app mode, the form prepares a message on your device; you review and send it through your email provider. Where direct submission is enabled, the website sends the completed request to the same property manager address.

Form entries are not saved to browser storage by this website. Your browser or email provider may retain drafts or sent messages under its own settings and policies.

Why we use information

We use information to respond to inquiries, coordinate maintenance or services, investigate concerns, communicate about your request, and maintain appropriate condominium records. Information may also be used for security and to meet legal obligations. We do not sell or rent personal information or use resident submissions for advertising.

Who may receive information

The property manager receives form submissions. Relevant information may subsequently be shared with authorized board members, staff, contractors, professional advisers, or technology providers where necessary to address the matter or administer the corporation. Sharing is limited to information reasonably needed for that purpose.

Submissions are not intended for public display. Absolute confidentiality cannot be promised: disclosure may be necessary to address a complaint, respond to a lawful records request, comply with law, or participate in legal proceedings. Applicable privacy protections and restrictions on disclosure will be considered.

Consent and your choices

The form explains its recipient and purpose before you proceed. You may contact us about our use of your information or withdraw consent to uses that depend on consent. Withdrawal may limit our ability to address your request and does not override lawful retention or disclosure requirements.

Browsing the website does not mean that you consent to unrelated marketing. You may contact the office by phone instead of using the form.

Website services, cookies, and external links

This website does not include advertising trackers or third-party analytics scripts. Hosting and access services may use essential cookies or technical logs to operate and secure the site. The private review version uses the hosting platform’s sign-in service, which is subject to that provider’s privacy policy.

Map directions open an external map service when you follow the link; no interactive third-party map is embedded. External websites and your email provider have their own privacy policies.

Technology providers may process information outside Ontario or Canada, where it may be subject to the laws of those jurisdictions. Contact us for information about the providers used for your inquiry. If optional analytics or tracking is introduced, we will update this policy and provide choices or obtain consent where required.

Retention and security

Personal information should be retained only for as long as reasonably necessary to address the matter, maintain required records, and meet applicable legal obligations. An ongoing dispute or proceeding may require longer retention. Information no longer required should be securely deleted, destroyed, or anonymized.

YCC8’s policy is to restrict access to authorized people who need the information and use safeguards appropriate to its sensitivity. No website or email system guarantees complete security. Privacy incidents will be assessed and notifications or reports made where required by applicable law.

Access, correction, and concerns

You may request access to your personal information, ask for corrections, or raise a concern using the contact details below. Identity verification may be required. Access may be limited where legally permitted or required, including to protect another person’s information or privileged material. We will explain applicable restrictions where permitted and respond within any legally required timeframe.
